PURPOSE OF THE JOB
The prime purpose is to facilitate corrective maintenance activities from its request, authorization, approval, implementation, spares management, invoicing and payment to ensure that there is accountability for the company and the client. Provide field staff coordination and administrative support for the Operations & Maintenance department in accordance with laid down Standards.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Get clear weekly snapshots of client CM process and status
Weekly visit to client to follow and get invoices on time
Weekly report about all CM work done per region
Get updates from warehouse and RAS to confirm stock on hands per region and make sure teams have enough spare and tools
Record all requests for corrective maintenance from the field
Seek approval and authorization for all corrective maintenance activities from client
Process and ensure all CRQ’s are issued for corrective maintenance activities
Follow up with managers and field engineers to ensure that jobs are executed per the requirement and approval from the client.
Request and ensure access codes are granted and used judiciously.
Follow up with managers and field engineers to ensure all replaced parts are returned per client’s specification and evidence of new parts replacements are obtained.
Ensure that parts approved for corrective maintenance activities are used for their purpose as approved by the client
Ensure that all corrective Maintenance activities as invoiced, received and approved by the client
Undertake reconciliation with the warehouse to ensure that items sent to the field for maintenance activities corresponds with approvals from the client
Coordinate with the finance department to confirm that approved funds for maintenance activities are received and/or refunded
Allocate field actions (job cards, faults, routines etc) to specific teams for resolution Dispatch field engineers against specific action items (references, jobs)
Follow-up fault/action progress to ensure problems are fixed for SLA achievement
Responsible for assisting maintenance officers’ as required.
Establish & Maintenance of general records system to manage change request activities
Manage to be able to invoice clients on time
OTHER DUTIES AND RESPONSIBILITIES
Produce weekly and monthly reports on spare parts per site and CM activities
Maintain confidentiality at all times on all matters.
Ensure ECG management for client on time and no penalties.
Demonstrate essential overall knowledge of the organization.
Understand the responsibilities of other departments and co-operate with them.
Access and use work processing computer packages and keep up to date withenhancements to latest upgrades.
Maintain accurate data for all management and filed officers.
Reporting on all maintenance actions in line with role
SUPERVISORY RESPONSIBILITIES
Supervise the activities of field engineers relating to change of spares and logistics on site and account for them per corrective maintenance process.
REPORTS
Weekly report about all spare parts and CM activities per site
Weekly reconciliation with O&M Accountant about CM / Parts to be sent to O&M Accountant
Monthly confirmations about the Work done and parts used for both networks to be sent
Weekly report about invoicing process and status.
GENERAL DUTIES
Any other duties that may be assigned.
KEY PERFORMANCE INDICATORS
Share with management the month plan for PM per region per team
Record on all corrective maintenance activities undertaken on the field
Ensure accurate data on tools and logistics specifications on sites given to Field engineers
Monitor installations / distribution of spares and materials on sites for invoicing and reconciliation
Ensure all change requests documentations are up to date for reconciliation with client
Ensure all corrective maintenance activities are recorded, invoiced and paid for by the client. Monitor projects and compile feedback reports to ascertain the use of spares and parts.
Liaise with field officers regarding status of works and spares change
Ensure all maintenance activities are approved by the clients with its respective CRQ number authorization and approval
Return of all old parts to the clients after replacement
Abide by SHERQ procedures and rules at all times
Prompt and accurate reporting
Meeting the KPI specification
To complete all works according to agreed standards and budget specifications.
Required Skills or Experience
Diploma in Accountability or relative studies
Minimum of Three years working experience.
Driver License if available
Knowledge about telecom sector
EXPERIENCE
At least 3 years’ experience in the Telecommunications/ Electrical industry.
KNOWLEDGE
Knowledge of Computer and Computer applications.
Knowledge of Network Power and Generator system.
Knowledge of parts and spares in telecom maintenance
